5 Tips for Maximizing the Impact of Your Gala Video
Your event is finally here. The lights dim, the crowd quiets down, and your beautifully produced video starts to roll. But here’s the thing—a great video isn’t enough. It needs the right setup, the right timing, and the right conditions to actually land.
Over the years, I’ve seen amazing videos fall flat simply because of how they were presented. These six tips will help make sure your video doesn’t just play—it connects.
1. Plan the Lead-In
Don’t just hit “Play” and hope for the best. A short setup from your emcee helps cue the room that something important is about to happen. It gives your audience a moment to wrap up their conversations and tune in. Otherwise, those crucial first 30–60 seconds might go to waste while people are still distracted.
You’ve invested time and money into your video. A thoughtful introduction makes sure it gets the attention it deserves.
2. Pick the Right Moment
When you play the video matters just as much as what you play. If your goal is to stir emotion and drive giving, avoid showing the video early in the night. People will eat, chat, and listen to multiple speakers—by the time you get to the appeal, the emotional punch of the video will be long gone.
Instead, line it up to play right before your live ask. That’s when people are primed to act. If you want to start the event with a video, make it an energetic anthem or teaser to set the tone, not the heartstring-tugger.
3. Test the AV
Because, honestly, it does.
What sounds great in your office or headphones might fall apart in a large, echo-y ballroom. Always run a full test of the video on the venue’s actual AV system before showtime. Listen from different parts of the room. If it’s hard to hear, people will check out. Does the music play powerfully and mix well with the vocals?
We create custom audio masters specifically tuned for large event spaces—it’s a simple step that can make a huge difference.
4. Add Subtitles—Always
Even if accessibility isn’t a requirement, subtitles are still essential. Between dinner clatter, servers clearing plates, and acoustics working against you, it’s common for key dialogue to get lost. Subtitles ensure your message comes through clearly, no matter what’s going on in the room.
Don’t worry about them being a distraction—your audience will thank you for making it easier to follow along. And you can also share a version without captions when you post it online.
5. Send it after the event
You’ve got a powerful story on your hands—don’t let it disappear after one screening.
Send the video in your post-event follow-up email. It gives donors and guests a chance to revisit the emotional moment they experienced in the room—and for those who couldn’t attend, it’s a compelling way to still engage them. It’s one of the simplest ways to extend the impact of your video. Check out our blog post that shows you how to optimize your video in emails.
By following these tips, nonprofits can make sure their video leaves a lasting impression on attendees. Some of these tips can be handled on the day of the event, but the biggest wins come from planning ahead. When you pair a strong story with smart strategy, your video becomes more than just a nice moment—it becomes a turning point in your program.
